How PropFM handles your information
This policy covers the PropFM mobile app, developed by Halabrix and used by Tenants and Property Owners to manage tenancies, maintenance requests, and property records.

At a glance

• No advertising and no ad-tracking SDKs in this app.
• We never sell your information to third parties.
• No location tracking — the app doesn’t request your device location.
• ID documents are used only to verify your tenancy or ownership.
• Card numbers are never collected — payments are recorded by reference only.
• You can request a copy or deletion of your data at any time.

1. Information we collect

We collect what’s needed to run your tenancy or property account — nothing beyond that. Here is what we collect and why:

• Account & contact: Full name, email, phone number, account role (to create and secure your account; reach you about your tenancy or property).
• Identity verification: Emirates ID number & expiry date, uploaded ID scan (to verify who you are for tenancy or ownership records, as required for UAE property management).
• Tenancy & property records: Unit assignment, lease dates, rent amount, tenancy contract number, Ejari details (to manage your lease or your property portfolio).
• Documents: Uploaded contracts, Ejari certificates, supporting files (to keep the records tied to your tenancy or property).
• Maintenance requests: Request details, photos, category, quotations, visit schedules (to route, quote, and resolve maintenance work).
• Payment records: Payment method, reference numbers, amounts, status (to track rent and service payments).
• Pets & vehicles: Type, breed or make, registration status, photos (to approve and track pets and vehicles on the property).
• Push notifications: Device notification token (to deliver alerts you’ve enabled).

We do not collect your device location, and we do not integrate any advertising or analytics SDK in this app. Payments are recorded by reference and status only — the app does not process card numbers or bank credentials.

2. How we use it

• Operate and secure your Tenant or Property Owner account.
• Process maintenance requests, quotations, and scheduled visits.
• Verify your identity for tenancy or ownership purposes.
• Send the notifications you’ve opted into.
• Keep the tenancy and financial records that UAE property management requires us to retain.

3. Third-party services

The app is built on Google Firebase, which provides authentication, database, file storage, and notification delivery. If you choose to sign in with Google, that sign-in is handled by Google directly. We don’t add any advertising network, analytics tracker, or other third-party SDK on top of this. Firebase processes data under Google’s own terms.

4. How we share it

Your information is visible to the Halabrix staff who manage your tenancy or property. Property Owners and Tenants only see records tied to their own account. We do not sell your information, and we do not share it with advertisers or data brokers.

5. Data security

Data is encrypted in transit and at rest through Firebase’s infrastructure. Access is governed by role-based security rules, so a Tenant account cannot read a Property Owner’s records, and vice versa.

6. Retention

We keep your information while your account is active, and for as long as UAE tenancy and financial record-keeping rules require afterward. You can ask us to delete your data at any time.

7. Your rights

You can ask us to access, correct, or delete your personal information at any time by writing to hafiz.ladha@halabrix.com.

8. Children’s privacy

PropFM is built for tenancy and property management, which assumes a legal adult holding a lease or owning property. The app is not directed at children, and we don’t knowingly collect information from anyone under 13.

9. Changes to this policy

If this policy changes in a material way, we’ll update the effective date above and notify you in-app or by email before the change takes effect.
